Privacy Policy

Account information. When you create an account we collect your name, email address, and authentication details. If you sign in with a third-party provider (Google, Microsoft, or Apple), we receive basic profile information from that provider.

SOP and customer content. We store the process descriptions you submit and the SOPs, steps, runs, tasks, comments and files you create or upload. This content belongs to you.

Payment information. Subscription payments are handled by our third-party payment processor. We do not store raw card numbers in the Xinam application database; we may retain limited details such as card brand and last four digits and a processor reference.

Usage information. We collect basic technical and usage data (such as log data and actions taken in the Service) to operate, secure and improve the Service.

We use information to provide and operate the Service, authenticate users, generate and store SOPs, process subscriptions, communicate service and transactional messages, provide support, maintain security, and comply with legal obligations.

We use strictly necessary cookies to keep you signed in and to secure your session. We do not use these cookies to sell your personal information.

We share information with vendors who help us run the Service — such as cloud hosting and database providers, our payment processor, and, where you enable it, AI processing to generate SOP content. These providers process information on our behalf under appropriate obligations.

We use reasonable technical and organizational measures to protect information, including encrypted connections, access controls and tenant isolation so one workspace cannot access another's data. No method of transmission or storage is perfectly secure.

We retain account and content information for as long as your account is active or as needed to provide the Service, and thereafter as required for legitimate business or legal purposes. You may request deletion as described below.

Depending on your location, you may have rights to access, correct, export or delete your personal information. To exercise these rights, contact us at support@xinam.ai. You may also close your account at any time.

The Service is intended for business use and is not directed to children under 13, and we do not knowingly collect their personal information.

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
